Overview

         I.  JOB SUMMARY: The Receptionist/Switchboard Operator will be responsible for monitoring activities that take place in the main lobby of the Home. Incumbent is also responsible for covering the front desk, authorizing or denying building access via the security system covering the main entrance, operating the buzzer for individuals to access areas beyond the main lobby, and manning the main, multi-line switchboard.

 

      II.  RESPONSIBILITIES:

 

 

  • Utilizing the camera and communication device at the front desk, incumbent will greet and screen all visitors to the Home. If the visitor is for an employee of the Home the Receptionist will notify the employee by phone. The overhead paging system will be used on a limited basis.
  • Except in extreme emergency situations, the Receptionist must remain at the front desk at all times.
  • All visitors will be required to fill out and sign a Health Screen to confirm that they are not exhibiting any signs of a contagious nature.
  • All visitors will access the LobbyGuard visitor management system to produce a dated photo ID. Receptionist may need to help first-time visitors on the use of the LobbyGuard kiosk. Visitors should be instructed to wear this badge visibly while they are in the Home.
  • Receptionist should refer to and become familiar with the resident’s Visitation Restriction log to make sure the visitors are approved.
  • If an individual who is not approved to visit attempts to sign in or someone attempts to bypass the front desk, the incumbent shall immediately page the Security Guard for assistance.
  • The incumbent will answer calls to the main switchboard promptly and pleasantly by “Good morning (evening), St. Mary’s Home. How may I help you?”
  • Personal phone calls for employees who are on duty should not be forwarded unless it is an emergency. (Exceptions may be made for children checking in after school, etc.)
  • The front desk should have at all times internal directories of all extensions and staff members including important emergency numbers of senior management, maintenance, nursing, etc., in order to respond promptly in emergency situations.
  • The Receptionist will support the Security Guard when fire drills are conducted.
  • Receptionist is notified of all interviews scheduled for The Home and notifies the appropriate interview team of the applicant’s arrival.
  • At the beginning of the shift, the Receptionist will: 
  1. Open the Home’s voice mail system to review any messages she may have that are related to the day’s interview appointments, events, or other activities.
  2.  
  3. Print out the Home’s daily schedule and refer to it through-out the shift to become familiar with the scheduled activities

 

  1. Incumbent shall also perform a variety of clerical tasks that can be done at the front desk, such as stuffing envelopes, applying mailing labels and postage stamps, etc., as assigned by the Director of Human Resources.

 

  1. Since the lobby area gives visitors the first impression of the Home, the Receptionist and Environmental Services staff is responsible for keeping the lobby neat and orderly, and watering the plants regularly.

 

  1. The incumbent shall report any broken or damaged furniture or equipment to Administration, and shall keep the front desk clean and free of clutter; maintain a supply of pencils or pens for use by visitors.

 

  • QUALIFICATIONS:

  1. Education: High school diploma or GED; some experience with a multi-line switchboard.
  2.  
  3. Training and Experience: On the job training will be provided to all new hires on the Home’s policies,the switchboard, the paging system, and LobbyGuard. Individual must have a working knowledge of the Microsoft Office suite of computer programs. Experience working with and providing excellent customer service to a variety of individuals is required.

  5. Confidentiality: The incumbent should handle all situations in a calmhighly confidential and is not to be discussed with anyone. All inquiries  
  6. should be referred to the Charge Nurse on duty.
